{"id":3175,"date":"2021-04-06T13:05:44","date_gmt":"2021-04-06T11:05:44","guid":{"rendered":"https:\/\/taskcontrol.cz\/docs\/taskcontrol\/plans\/plan-sharing\/"},"modified":"2024-09-16T14:05:17","modified_gmt":"2024-09-16T12:05:17","slug":"plan-sharing","status":"publish","type":"docs","link":"https:\/\/taskcontrol.cz\/en\/docs\/en-docs-taskcontrol\/plans\/plan-sharing\/","title":{"rendered":"Plan Sharing"},"content":{"rendered":"<p>Plans, regardless of whether they are published or not, have the ability to be shared within TaskControl instance.<\/p>\n<p>Sharing functionality allows to have control over who can access the plan within the organization using TaskControl instance.<br \/>\nDifferent departments and functions can use TaskControl without mixing their Plans in the views.<br \/>\nIt also allows publishing sensitive information in TaskControl plans without risking unauthorized viewers to access it.<\/p>\n<h2>Default Settings<\/h2>\n<p>By default a Plan is not marked Public. Share for All is not checked:<br \/>\n<img loading=\"lazy\" class=\"alignnone wp-image-3565 \" src=\"https:\/\/taskcontrol.cz\/wp-content\/uploads\/2021\/04\/taskcontrol-plan-sharing-dialog-820x1024.jpg\" alt=\"\" width=\"274\" height=\"339\" \/><\/p>\n<p>By default if Plan is not marked Public, its availability of access is limited to:<\/p>\n<ul>\n<li>Manager of the plan (creator)<\/li>\n<li>Executers and Teams assigned to Tasks in the specific Plan (when <a href=\"https:\/\/taskcontrol.cz\/docs\/en-docs-taskcontrol\/plans\/plan-publishing\/\">published<\/a>).<\/li>\n<\/ul>\n<p>Therefore after publication, the plan automatically becomes available to all Executors who are assigned by name or in the Team to the tasks in the plan.<\/p>\n<h2>Public Plan<\/h2>\n<p>On the other hand, it is possible to run the plan as Public, with it becoming visible to all TaskControl users registered in the instance right after <a href=\"https:\/\/taskcontrol.cz\/docs\/en-docs-taskcontrol\/plans\/plan-publishing\/\">publication<\/a>:<br \/>\n<img loading=\"lazy\" class=\"alignnone wp-image-3566\" src=\"https:\/\/taskcontrol.cz\/wp-content\/uploads\/2021\/04\/taskcontrol-plan-sharing-public-dialog-300x91.jpg\" alt=\"\" width=\"188\" height=\"62\" \/><br \/>\nAnyone can see the plan and the details.<br \/>\nAlso anyone in Executor role can <a href=\"https:\/\/taskcontrol.cz\/docs\/en-docs-taskcontrol\/plans\/user-assignment-to-tasks\/\">assign a task<\/a> to him\/herself.<\/p>\n<h2>Detailed Sharing<\/h2>\n<p>To define in more detail who can access the plan but default users, go to <a href=\"https:\/\/taskcontrol.cz\/docs\/en-docs-taskcontrol\/plans\/context-menu\/\">Context<\/a> menu and choose Sharing:<br \/>\n<img loading=\"lazy\" class=\"alignnone wp-image-3569\" style=\"color: #333333; font-style: normal; font-weight: 300;\" src=\"https:\/\/taskcontrol.cz\/wp-content\/uploads\/2021\/04\/taskcontrol-plan-sharing-context.jpg\" alt=\"\" width=\"114\" height=\"111\" \/><\/p>\n<p>For a public plan, you can see that a Plan is shared for everyone.<br \/>\n<img loading=\"lazy\" class=\"alignnone wp-image-3568 \" src=\"http:\/\/taskcontrol.cz\/wp-content\/uploads\/2021\/04\/taskcontrol-plan-sharing-view-public.jpg\" alt=\"\" width=\"305\" height=\"190\" \/><\/p>\n<p>The same view allows adding or removing Users or Teams with access to the plan according to their <a href=\"https:\/\/taskcontrol.cz\/docs\/en-docs-taskcontrol\/user-management\/roles\/\">roles<\/a>:<br \/>\n<img loading=\"lazy\" class=\"alignnone wp-image-3567 \" style=\"color: #333333; font-style: normal; font-weight: 300;\" src=\"http:\/\/taskcontrol.cz\/wp-content\/uploads\/2021\/04\/taskcontrol-plan-sharing-view-detailed-scaled.jpg\" alt=\"\" width=\"811\" height=\"302\" \/><br \/>\nButtons +New allow to add a whole Team or a specific User.<br \/>\nThe grid below shows if the access is granted:<\/p>\n<ul>\n<li>Because the Manager is Plan owner<\/li>\n<li>Because the Executor or Team has been assigned to Task as Executor<\/li>\n<li>Manually added Teams or Users.<\/li>\n<\/ul>\n","protected":false},"featured_media":0,"parent":3008,"menu_order":8,"comment_status":"open","ping_status":"closed","template":"","doc_tag":[],"yoast_head":"<!-- This site is optimized with the Yoast SEO plugin v19.12 - https:\/\/yoast.com\/wordpress\/plugins\/seo\/ -->\r\n<title>Plan Sharing | TaskControl<\/title>\r\n<meta name=\"robots\" content=\"index, follow, max-snippet:-1, max-image-preview:large, max-video-preview:-1\" \/>\r\n<link rel=\"canonical\" href=\"https:\/\/taskcontrol.cz\/en\/docs\/en-docs-taskcontrol\/plans\/plan-sharing\/\" \/>\r\n<meta property=\"og:locale\" content=\"en_US\" \/>\r\n<meta property=\"og:locale:alternate\" content=\"cs_CZ\" \/>\r\n<meta property=\"og:type\" content=\"article\" \/>\r\n<meta property=\"og:title\" content=\"Plan Sharing | TaskControl\" \/>\r\n<meta property=\"og:description\" content=\"Plans, regardless of whether they are published or not, have the ability to be shared within TaskControl instance.
